Job Title: Property Asset Coordinator                  

Reports to: Director of Property Assets

The Asset Coordinator is responsible for supporting the efforts of the Asset team to ensure that Urban Land Conservancy’s (“ULC”) assets operate efficiently and provide long-term benefits to the community.

PRIMARY DUTIES and RESPONSIBILITIES

The Asset Coordinator will be expected to work independently and perform a wide range of duties including, but not limited to the following:

  • Responsible for maintaining federal, state, and local property related compliance that includes government debt, annual Secretary of State renewals, and SAM (System for Award Management) designations
  • Supporting the Property Managers by:
    • Maintaining knowledge of leasing activity, marketing, repair & maintenance information for all ULC properties
    • Monitoring outstanding accounts receivable related to delinquent tenant payments and other property accounts
    • Assisting with general lease administration within the property management software
    • Helping to maintain project, property, and lease files in dual document system: electronic and hard copy
    • Assisting with tenant events/functions
    • Serve as back-up to the Property Manager(s) including handling tenant questions/issues and covering during absences
  • Provide acquisition/disposition due diligence support
  • Assist Asset department coordination with third-party management companies
  • Responsible for coding all Asset related accounts payable invoices within the accounting software
  • Prepare property financial reports, as requested
  • Support efforts to process property tax exemptions and refunds with third party tax consultants
  • Assist with preparation of annual property budgets
  • Grant Compliance
    • Assist with tenant data collection for compliance reports
    • Maintain knowledge of compliance requirements for all grants and forgivable loan agreements

QUALIFICATIONS 

Education

  • Associate’s degree in business

Experience

  • Must have at least two years related experience
  • Knowledge of Yardi property management software preferred
  • General understanding of property management, including contract negotiations and due diligence

Knowledge, skills, and abilities

  • Ability to communicate effectively with tenants
  • Ensure communication with tenants is consistent as well as sensitive to the populations served
  • Knowledge of real estate, finance, community development, affordable housing, or economic development a plus
  • Intermediate skills with Microsoft Excel and Word
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Excellent communication skills, written and verbal
  • Ability to understand and follow written and verbal instructions
  • Ability to work independently and as a member of various teams
  • High level of interpersonal skills
  • Willingness to learn new skills related to residential and commercial real estate
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
