Job Title: Property Manager

Reports to: Director of Property Assets

FTE: Full time, 37.5 hrs/week

FLSA Designation: Exempt – Salary

 

SUMMARY

The Property Manager is responsible for effectively managing buildings and tenant relationships in a portfolio of assets across the Denver Metro area. The Property Manager supports Urban Land Conservancy’s (ULC) mission by managing property assets in such a way as to provide maximum benefit to the community, nonprofits, and under-served populations.

DUTIES & RESPONSIBILITIES

The Property Manager is expected to be an integral part of ULC’s Assets team, but also to work independently to manage a portfolio of buildings. The role performs a wide range of duties, including, but not limited to:

Lease Management

  • Market, show, and lease-up vacancies, either with ULC staff or in collaboration with leasing agents/companies
  • Strive to identify prospective tenants that share ULC values and the culture of the other tenants in a building
  • Negotiate and execute mutually beneficial lease terms with prospective tenants
  • Provide ongoing management of leases, prepare monthly billing statements, including CAM, utilities, and other bill-backs
  • Negotiate and manage the lease renewal process
  • Act as liaison between tenants and ULC accounting department for billing issues/questions or disputes
  • Monitor aging reports, work with tenants to resolve arrearages
  • Work with the Director of Property Assets to identify and resolve instances of lease violations
  • Enter leases, renewals, and terminations in property management software

Tenant Management

  • Initiate, develop, and maintain effective relationships with tenants
  • Obtain, review, and approve tenant applications to verify ability to pay rent, nonprofit standing, and potential impact on other tenants and building use.
  • Ensure communication with tenants is clear, consistent, and culturally appropriate to the populations served
  • Onboard new tenants, ensuring that tenants understand and follow building rules, emergency protocols, security procedures, maintenance request procedures, and online portal registration
  • Liaise between tenants and ULC maintenance staff and/or vendors regarding building repairs and maintenance operations
  • Collect and maintain tenants’ certificates of insurance, business licenses, zoning documents, etc.

Property Management

  • Maintain accurate marketing materials and records of building characteristics including current photos, rentable square feet, unit configurations, key schedules, etc.
  • Develop and maintain policy and procedure manuals for each building, including access/security policies, emergency response plans, conference room scheduling, etc.
  • In collaboration with the facilities team, identify maintenance and capital improvement needs for each building
  • In collaboration with the Assets and Facilities teams, coordinate tenant improvement projects and maintain vendor relationships
  • Identify and communicate any potential risks or increased liability to ULC’s assets to the Director of Property Assets
  • Identify and implement strategies to increase net operating income in each building
  • Model and monitor building cash flow on an ongoing basis to meet ULC goals

Assets Team Participation

  • Support other property managers, assets team members, or other ULC staff as requested
  • Coordinate with third-party property managers, brokers, agents, owners’ associations, and community groups
  • Support the due diligence process on potential new ULC acquisitions and dispositions
  • Collaborate with other ULC departments on tasks such as grant applications, reporting, marketing, internal/external events, etc.
  • Participate in the annual property budgeting process
  • Provide periodic reports to management and/or board of directors regarding property performance
  • Collaborate with the Assets Team to ensure operations meet legal compliance

  • Intermediate knowledge of the Denver-Metro area commercial real estate market
  • Intermediate knowledge of various commercial building types and operations including office/mixed-use, educational, warehouse/light industrial
  • Intermediate knowledge of the local nonprofit environment
  • Advanced skill in problem-solving, analytics, and time management
  • Advanced skill in interpreting and analyzing contracts and leases
  • Advanced skill in multi-tasking and managing multiple properties/tasks at once
  • Advanced communication skills in multiple settings and with cultural competency
  • Advanced interpersonal skills and ability to present oneself professionally
  • Intermediate skill with basic office software packages, including Microsoft Office, Yardi, and Google products
  • Intermediate skills in budget forecasting, financial modeling, planning, project management
  • Advanced ability to be flexible and adapt to changing priorities
  • Advanced ability to understand and follow written and verbal instructions
  • Advanced ability to work both independently and as part of a team
  • Advanced ability to maintain client and organizational confidentiality
  • Ability to be insured by ULC’s insurance policy to operate a vehicle for company business

PHYSICAL DEMANDS AND WORK ENVIRONMENT
This position may require:

  • Frequently required to be in a stationary position during scheduled work hours
  • Frequently required to stand
  • Frequently required to walk
  • Occasionally required to lift/push/carry items up to 25 pounds
  • Occasionally exposed to wet and/or humid conditions (non-weather)
  • Occasionally work near moving mechanical parts
  • Occasionally work around fumes, airborne particles, or toxic chemicals
  • Occasionally exposed to outside weather conditions

QUALIFICATIONS

A combination of education and experience may be considered

Education

  • High school diploma or equivalent required
  • Bachelor’s degree in real estate, business administration, or related field preferred

Experience

  • Three years of property or asset management experience, including experience drafting and managing commercial leases, is required
  • Experience with commercial office, mixed-use, retail, light industrial, or similar real estate is preferred
  • Familiarity and proficiency with Yardi Property Management software is preferred
  • Real estate or property management certifications up to and including a real estate license are preferred
  • Community development, organizing, nonprofit, social justice, or social enterprise experience is preferred

REQUIREMENTS

  • Must pass a background check
  • Must have a valid driver’s license, reliable transportation, and be insurable
  • Must be punctual, reliable, and demonstrate a good work ethic

COMPENSATION

  • Salary range is $60,000-$80,000 per year, with the intent of a starting salary in the lower end of this range
  • 37.5-hour work week with options for alternative work schedules
  • Bi-weekly pay
